CRM for dental practices: what single practices and large groups each need
How a CRM differs from your dental PMS, what a single practice needs from one, what a multi-site group needs, and how an agentic CRM keeps itself up to date from every call and message.
Your PMS is not a CRM
Your practice management system is the clinical and operational record: the diary, charting, treatment plans, payments and patient notes. It is built around patients who are already booked.
A CRM is built around conversations and opportunities. It tracks every enquiry before it becomes a patient, every conversation across phone, WhatsApp, email and social media, and every follow-up that should lead to a booking: new-patient enquiries, unaccepted treatment plans, lapsed patients and campaigns.
The two work best together. The CRM finds and nurtures the opportunity, and the booking lands in the PMS.
What a single practice needs
A single practice doesn't need an enterprise sales tool. It needs a few things done reliably:
- One inbox for every channel. Calls, WhatsApp, SMS, email, web chat and social messages in one place, with one history per patient.
- Enquiry tracking. Every new-patient and treatment enquiry captured, with its source and status, so none are forgotten.
- Treatment-plan follow-up. A simple list of patients with unaccepted plans and a reminder, or an AI agent, to follow each one up.
- Built into the phone system. No separate tool to log into. Calls and messages update the CRM automatically.
- Simple reporting. How many enquiries came in, where from, and how many booked.
What a large practice or group needs
Groups need the same foundations, plus control across sites and teams:
- Pipelines across practices. New-patient and high-value treatment pipelines for every practice, visible to the central team and to each practice.
- Central and local teams. Permissions so the central team, practice managers and treatment coordinators each see what they need.
- Campaigns at scale. Recall, reactivation and treatment campaigns run group-wide, with consent and opt-outs respected.
- Attribution. Which channels and campaigns bring patients who actually book, by practice.
- Integration with every PMS. Groups that grew by acquisition often run more than one PMS. The CRM should connect to each.
- Reporting by practice. Enquiries, conversion and revenue opportunities for each site and for the group.
Agentic CRM: a CRM that keeps itself up to date
Most CRMs fail because nobody updates them. Receptionists are busy, notes are skipped and the pipeline drifts away from reality.
In an agentic CRM, AI agents update the record from the conversations themselves. A call is transcribed and summarised, the enquiry is created or updated, the next step is set, and the agent can carry out that next step: a WhatsApp follow-up in an hour, a call back on Thursday or a consultation booking. Your team reviews and steps in, rather than typing.
Patient data and compliance
A dental CRM holds personal and sometimes health-related information, so it must be run under UK GDPR with a Data Processing Addendum, role-based access and audit trails. Marketing messages need the right consent under UK GDPR and PECR, while service messages such as appointment reminders and recalls can be sent as part of the patient's care. Patients should always be able to opt out.
How Intelinteract handles it
Intelinteract includes an agentic CRM alongside the phone system, AI agents and messaging, connected to dental practice management systems including Dentally, CareStack, Software of Excellence and SFD. Single practices get it in the standard practice package, and groups get pipelines, campaigns and reporting across every site.

Do we need a CRM if we already have a PMS?
Your PMS manages booked patients. A CRM manages enquiries, conversations and follow-ups before and between appointments, which is where many bookings are won or lost.
Is the CRM a separate system to log into?
Not with Intelinteract. The CRM is built into the same platform as your phone system and messaging, and calls and messages update it automatically.
Can a group run campaigns across all its practices?
Yes. Recall, reactivation and treatment campaigns can run group-wide or per practice, with consent and opt-outs respected and results reported by practice.
